Enrollment CRM and AI Call Review for Schools and Training Centers

For private schools, test prep, language and driving schools: AI reviews every enrollment call and turns promised follow-ups after a trial into tasks.

Updated September 29, 2026

An inquiry to a school or training center cools off within hours. A parent fills out a form at 9 p.m. — often on three other schools’ websites too — and whoever calls back first and books a trial class or a tour usually gets the student.

Then comes the second place enrollments slip: after the trial lesson or info session, the family says “we’ll think about it,” and the advisor either finds out what’s behind it or says goodbye. The director hears neither. In enrollment season, that’s hundreds of calls and emails a week.

Where schools lose students

  • A slow first response. The advisor is on another call, an email inquiry sits for hours, and the family books a tour somewhere else.
  • Missed calls nobody returned. Adult learners call after work, and the 8:30 p.m. call gets buried under the next morning’s inquiries.
  • Answered but not booked. Tuition quoted, program described — but no specific time offered for a trial class, tour or info session.
  • A trial with no follow-up. Nobody calls after the trial lesson to talk about how it went, and the decision gets “postponed.”
  • “We’ll think about it” with no question asked. “Sure, let us know” — and they never do.
  • The decision maker wasn’t on the call. Mom called, but Dad and the student decide, and nobody set a time to talk with all of them.
  • The term ends, and the student is gone. Nobody called about re-enrolling before the last class.

How Omniscore handles it

Omniscore connects to your phone system through its API or an SFTP folder (or you upload recordings) and to your admissions mailboxes over IMAP. Advisors keep their numbers, and every conversation goes through the same steps:

  1. Calls and email in one timeline per family. The Today screen shows who’s waiting for a reply and for how long, and new inquiries can go to advisors on shift, in rotation or by workload.
  2. Reply drafts from your knowledge base. Tuition, formats, schedules, trial class terms — AI drafts the email, and the advisor checks it and sends it. If something isn’t in the knowledge base, AI doesn’t make it up: it leaves a placeholder like [date] or [price] for the advisor to fill in.
  3. Every call and email reviewed. A transcript, a score against your scorecard, a summary, the outcome and the next step — for every conversation. More on the AI call analysis page.
  4. Booking rate. Set a booked trial class or tour as the goal of a call, and the dashboard shows what share of interested callers actually got a time. A call where the booking was lost on the advisor’s side stays on the Today screen until someone reaches the family.
  5. Promises become tasks. “I’ll call you Thursday after the trial class” — AI creates a task with a due date, and overdue ones turn red.
  6. Missed calls. The dashboard shows missed and unreturned calls for each advisor and by hour of day, and Ask Omni answers “Who haven’t we called back?” with a list of calls.

An enrollment pipeline, from inquiry to re-enrollment

A sample CRM pipeline: new inquiry → first contact → trial booked → trial attended → enrolled → re-enrolled. Each stage gets its own time limit — say, an hour to first contact and a call within a day of the trial — and a deal past its limit is highlighted on the board.

Lost deals close with a reason from a fixed list: “no-show for the trial,” “price,” “schedule didn’t work,” “chose another school,” “went quiet after ‘we’ll think about it.’” After a month, you can see what’s really eating into enrollment. For re-enrollment, a rule can watch a date on the deal — say, when the term ends — and create a task for the advisor a set number of days before it.

What’s behind “we’ll think about it”

It rarely means no. More often there’s one specific question the family didn’t ask out loud:

What’s behind it What helps, for example
Price Ask what they’re comparing with; break tuition down per class; mention a payment plan if you offer one
Schedule Another group, another time slot or private lessons
“Can my kid keep up?” Go back to how the trial went and the goal they came with
Need to talk it over Set a call for when everyone who decides can be on it
Comparing with another school Ask what they liked there and answer that

The data shows which answers work at your school. Add your sales methodology to the scorecard, and AI points out up to three missed opportunities in each call. In Ask Omni you can ask directly: “After which arguments did families who said ‘we’ll think about it’ still enroll?” Omni answers from your conversations with a link to each one.

Scorecard for an enrollment call

Criterion What AI checks
Context Which program they’re interested in and how they heard about you
Goal Why now: a test date, a new job, a move, a child falling behind in math
Level and format Current level, group or private lessons, a schedule that works
Decision makers Who decides — one parent, both, the student — and whether they’ll be at the trial
Booking the trial Offered at least two specific dates and times for a trial class, tour or info session
Program tied to the goal Connected the program to the goal the caller named
Objections On “too expensive” or “we’ll think about it,” asked what’s behind it and answered on substance
Next step A date and an action: the trial class, a call after it, enrollment
Critical Pressure, rudeness or a promised result — a test score, a passed road test, fluency by summer

If the family didn’t push back, the objections item is marked “not applicable” and doesn’t lower the score. Emails are graded with the same scorecard.

What the director or admissions manager sees

  • Who’s waiting for a reply, and for how long, on the Today screen.
  • Agent leaderboard: score, critical fails and unreturned missed calls for every advisor, with the people to talk to first on top.
  • Conversion by stage in the pipeline report: how many inquiries reached a trial, how many trials turned into enrollments and which stage loses the most.
  • Standards compliance by item: who doesn’t book trials and who gives up at “we’ll think about it.”
  • Loss reasons: how many students you lose to price and how many to the schedule.

Pricing and pilot

The Omni core is $149 a month per workspace for a team of up to 10 (each additional 5 people is $59 a month); each additional campus as its own workspace is $19 a month. The CRM ($79), Tasks ($25) and Email ($15) are modules you add as needed. AI review is billed from a prepaid balance as you go — about 2¢ for a 1–2 minute call. Prices exclude sales tax. See the calculator on the homepage and the pricing page.

The pilot runs for 14 days on your real data, with every module: up to 1,000 minutes, no prepayment and no contract. We connect your phone system and mailboxes, set up your scorecard, pipeline and the knowledge base for reply drafts, and check the AI’s scores against your manager’s on 20–30 calls. Within 3–5 days you’ll see who takes too long to reply, where trial bookings slip and which objections your advisors can’t handle. Request a pilot.

Frequently asked questions

Parents usually decide, not the student. How does the scorecard handle that?
Often one parent calls, while both parents — or a parent and the student — decide together. Add a “decision makers” item and check whether the advisor set the next step with everyone who decides. You edit the scorecard in the workspace without a developer, and an item that doesn’t apply to a call is marked “not applicable” and doesn’t lower the score.
We get a lot of inquiries and have several advisors. Who gets the new ones?
New conversations in the inbox can be assigned automatically, in one of two ways: in rotation, to the advisor on shift who got a new inquiry longest ago, or by workload, to the advisor on shift with the fewest open conversations, within a cap. Advisors mark themselves on or off shift.
Enrollment peaks in August and January. Does the price go up?
Hardly: the core and modules are flat per workspace, and the core covers a team of up to 10 — a few seasonal advisors cost extra only if they take you past that, at $59 a month for each additional 5 people. Mostly it’s AI usage that grows with the number of conversations — about 2¢ for a 1–2 minute call — and you can skip very short calls to keep it down.
Families text us. Does Omniscore handle SMS?
Not yet. Today Omniscore covers calls and email; SMS, WhatsApp and Instagram in the same inbox are on the roadmap.
